Why Use Hybrid Mail?

NHS Trusts produce huge volumes of mail each day. Whether its an appointment letter for a patient or correspondence to a supplier or a GP, the numbers add up and as such, so does the cost. So much so, preparing, printing and posting mail eats into an already tight budget and absorbs money better spent on direct patient care.

Our hybrid mail solution dramatically reduces mailing costs and eliminates many processes your staff need to perform prior to posting mail. It does this by accumulating mail from your entire NHS Trust, validating recipient addresses, adding inserts (such as maps and guides), sorting, combining and applying finishing and mail marks. Printing, folding and inserting is performed in-house or using a secure and certified third-party such as a Xerox Service Delivery Center.

In addition to reducing staff input, our hybrid mail solution also enables your NHS Trust to: take advantage of the Royal Mail's higher volume discounts (including Mail Mark®); maintain corporate image using mail templates; keep track of mail volume and expenditure; and administer the entire system from anywhere using an intuitive web interface.

Key Components

To enable your NHS Trust to work the way it wants, and to ensure your mail is composed, printed and finished in the most efficient and cost-effective way, three hybrid mail components are provided:

Web Interface

Enables mail to be composed within an Internet browser using familiar word processing tools, and also provides an interface for administering the system.

Print Client

Used in a similar way to a printer driver to enable mail to be composed and intergrated into the hybrid mail system using any Windows application that can print.

API

Enables your own applications including PAS and Docman to work seamlessly with the hybrid mail system.

  • NHS N3 Network Compatibility

    Our hybrid mail solution is 100% compatible with the NHS N3 network. This means your NHS Patient Administration System (PAS) can transmit letters and associated supplements (such as maps and leaflets) to a remote third party print and finishing provider.

  • NHS Docman Compatibility

    An electronic copy of a patient’s letter can also be optionally sent to their GP/consultant via the NHS Docman system.
